Sharing files with people outside PSI is simple and secure when using Oort’s public‑link feature. Instead of granting account access, you generate a controlled link that allows external collaborators to view or download the material you choose. This guide walks you through the full process—from locating the sharing options to customizing permissions and sending the final link.

Step 1: Access the folder you want to share

Open the folder in Oort/Nextcloud that contains the files you want to share. From here, you’ll use the built‑in sharing panel to generate a link.

Callout — Important  Public links are required when sharing with non‑PSI collaborators. Internal PSI users can be added directly by name or email.

Step 2: Create and customize the public link

  1. Click the plus (+) icon in the sharing panel.

  2. Select the ellipsis (…) next to the new share entry.

  3. Choose Customize link.

  4. Enable Read and Edit so external users can download the data.

    • If you want to grant additional permissions (upload, delete, etc.), enable those options as needed.

  5. Click Update share to save your settings.

Callout — Permissions Tip  “Read and Edit” is usually enough for external collaborators who only need to download files. Grant broader permissions only when necessary.

Step 3: Send the link to your recipients

  1. Click the copy icon next to the ellipsis to copy the finalized public link.

  2. Paste the link into an email or message to the people you want to share the data with.

Callout — Security Reminder  Anyone with the link can access the shared content. Only distribute public links to trusted recipients.
